Privacy Notice

What this site stores, who can see it, and how to get it removed.

What this site is

Not rhythia.com, and not run by Capo Games.

This is the management site for Rhythia's team-ranked team: the roster, applications to join it, and the evaluations behind those applications. It is run by the team, on its own database. rhythia.com has its own privacy notice, and it does not cover this site.

What is stored

From Discord, when you sign in
Your Discord user id, username, display name, avatar and email address. Signing in with Discord is the only way onto this site; there are no passwords here to store.
From Rhythia, if you link an account
Your Rhythia user id and username, plus your avatar, banner and country flag, all copied from the public profile the game's API already serves. Linking is optional and can be undone from settings. If you verify that the account is yours, we also keep the date you did it, and the one-time code until it is used - we read your bio to check for the code and keep no other part of it.
Your roster card
Everything you fill in yourself: whether you are open for requests, where to reach you, your star-rating range, review days, and your genre, language, map, song, mapper and not-looking-for preferences.
Applications and evaluations
What you write on an application, the votes and comments evaluators leave on it, and the final decision with its reason.
Reports
Reports filed about a team member, the notes admins add to them, and how they were resolved.
An audit log
Who did what and when - role changes, card edits, votes, decisions, reports. It is what makes moderation reviewable, and it is kept even after the thing it describes is gone.

Who can see it

  • Anyone, signed in or not: the roster, and the profile of anyone on it - name, avatar, banner, and the request card they filled in. That is the point of the site.
  • The team: announcements, and the profile of an applicant who is not yet on the roster.
  • Evaluators: applications, and every vote and comment on them.
  • Admins only: reports, and the audit log.
  • Nobody else, ever: an applicant is shown their decision and the written reason for it. Individual votes and comments are never shown to the person they are about. This is enforced in the queries, not by hiding buttons.

Cookies

One session cookie, set when you sign in, plus the short-lived cookies Discord sign-in needs to complete. They are strictly necessary - without them there is no way to stay signed in - so there is no consent banner to click. There is no analytics, no advertising, and no third-party tracking on this site.

Who else touches it

  • Discord handles sign-in and tells us who you are.
  • Vercel hosts the site and keeps ordinary server logs.
  • Neon hosts the database.
  • rhythia.com is read from, never written to. The site asks its public API for the profile of a linked account; nothing about you is sent there.

Nothing is sold, and nothing is shared with anyone else.

Getting it removed

Ask an admin. Leaving the team archives your account, which keeps the roster history honest; deleting it removes your account, your card, your applications and your votes outright.

Deleting takes the reports about you with it. One thing survives on purpose: the audit entries, with your name detached from them, because a moderation record that can be erased by the person it describes is not a record.
